    What Retailers Require From Suppliers

Getting the PO is the easy part. Delivering it the way the retailer's routing guide demands — labeled, palletized, routed, and on time — is where margin gets lost to chargebacks.

EDI: purchase orders, ASNs, and invoices
GS1 barcodes and UCC-128 carton labels
Pallet specs, routing guides, and appointments
OTIF windows and how chargebacks are calculated

    Compliance Is Measured, Not Judged

Retailers do not evaluate effort. Their receiving process is automated: scan the carton label, match it to the ASN, check the appointment time, check the quantity. Anything that fails a scan or misses a window becomes a deduction on your remittance, usually without a conversation. The requirements themselves are not complicated — GS1 barcodes, accurate ASNs, spec-built pallets, booked appointments, full quantities on time — but they must be executed identically on every shipment, and they change whenever the retailer updates a routing guide.

Many clients also pair this with Retail Distribution 3PL, Retail Distribution LA, and B2B Fulfillment LA.

    EDI Connectivity

850 purchase orders in, 855 acknowledgements, 856 ASNs before arrival, 810 invoices out, 997 confirmations both ways. No manual retyping between systems.

    GS1 Item Barcodes

A valid UPC or EAN on every sellable unit, and inner-case barcodes where required. Unreadable or unregistered codes stop a shipment at receiving.

    UCC-128 Carton Labels

Each carton or pallet carries an SSCC license plate matching your ASN, printed and placed exactly as the routing guide specifies.

    Pallet & Carton Specs

Tie-and-high stacking pattern, height and weight limits, no overhang, stretch wrap to the base, and slip sheets where required.

    Routing & Appointments

Freight routed on the retailer's designated carrier or lane, with a booked delivery appointment inside the assigned window.

    OTIF Performance

On Time In Full. Both halves are scored. Short shipping to make a window is penalized the same as arriving late.

    Where the Money Leaks

Chargebacks rarely come from one dramatic failure. They accumulate: a label two inches off spec on one shipment, an ASN transmitted after the truck arrived on another, a pallet an inch over height on a third. Each deduction is small enough to ignore and frequent enough to erase the margin on the account.

The fix is procedural. Pull the current routing guide before every shipment, generate the ASN from scan-verified pack data rather than an order file, photograph outbound pallets, and dispute deductions with that evidence instead of absorbing them.

Every Retailer Is Its Own Standard

Walmart, Target, Costco, TJX, Albertsons, CVS, and Ross each maintain their own routing guide, appointment system, pallet spec, and penalty schedule. A process tuned to one will fail another in ways that look arbitrary until you read the document.

Ask any prospective 3PL which of these retailers they ship to today — not which they could ship to. Active experience with your specific accounts is the difference between a clean first PO and a month of deductions.

    How We Handle It

At our Vernon, CA facility we review the current routing guide before each retail shipment, apply GS1 and UCC-128 labels from scan-verified pack data, build and wrap pallets to the retailer's spec, book the delivery appointment, and retain photos and documentation for every outbound load.

With 21 loading docks and a gated yard 30 minutes from the Ports of Long Beach and Los Angeles, import freight can arrive, get labeled to retail spec, and ship into a delivery window without an intermediate hop through another building.

    Frequently Asked Questions

At minimum: EDI for purchase orders, ASNs, and invoices; GS1 barcodes on every item; UCC-128 carton labels; pallets built and wrapped to their spec; routed freight with a booked appointment; and delivery inside the assigned window.

The retailer's rulebook for how freight must physically arrive: carton dimensions and weight limits, pallet height and stacking pattern, label type and placement, carrier routing, appointment process, and paperwork. It is updated regularly and it governs chargebacks.

On Time In Full. Retailers measure whether a PO arrived inside its window with the full quantity ordered. Missing either side triggers a penalty, often calculated as a percentage of the PO value.

A GS1 UPC or EAN on each sellable unit, an inner-case barcode where applicable, and a UCC-128 / GS1-128 license plate on each shipping carton or pallet carrying the SSCC referenced in your ASN.

Late or inaccurate ASNs, unscannable or misplaced labels, pallets built outside spec, overweight cartons, missed delivery appointments, and short shipments. Most are warehouse execution failures, and most are preventable.

Yes, meaningfully. Pallet specs, label placement, appointment systems, and penalty structures all differ. Never assume one retailer's setup transfers to another — read each routing guide.

Built to the retailer's tie-and-high pattern, within the height and weight limits, stretch wrapped to the pallet base, labels applied on the specified faces at the specified height, and no overhang.

Have your 3PL pull the current routing guide before every shipment, generate ASNs from scan-verified pack data, photograph outbound pallets, and reconcile every chargeback with the retailer rather than absorbing it.
