Retail vendor compliance has stopped being a paperwork exercise and become a margin line. Major retailers enforce delivery windows, ASN accuracy, and labeling standards through automated chargebacks that hit vendor remittances without negotiation. For brands moving from DTC into retail, this is the most common place where a profitable purchase order turns into a break-even one.
OTIF: The Window Is the Standard, Not the Date
On-Time In-Full performance is measured against a delivery window, not a delivery date. Arriving early can be penalized as heavily as arriving late, because early deliveries disrupt the DC's receiving schedule. In-full is measured at the line level: a purchase order shipped at 97% fill can score as a miss on the short lines regardless of the overall value shipped.
The operational implication is that your warehouse needs to know the appointment window, book the carrier against it, and hold the shipment if the fill rate is not there — rather than shipping partial and hoping.

ASN Accuracy Is Now the Highest-Frequency Chargeback
The EDI 856 Advance Ship Notice is what lets a retailer's DC receive by scanning a pallet label instead of counting cartons. When the ASN hierarchy does not match physical reality — a carton on the wrong pallet, a quantity mismatch, an SSCC that does not resolve — the DC drops to manual receiving and bills the vendor for it.
The recurring failure modes are consistent: ASN transmitted after the truck arrives instead of before, pallet-carton-item hierarchy that does not match how the freight was actually built, duplicated SSCC numbers, and quantities pulled from the order rather than from the actual pick.
The fix is structural: the ASN must be generated by the WMS from the actual pick and pack transaction, not typed from the purchase order.
GS1-128 Labels: Placement and Print Quality Both Count
Retail DCs scan at speed. A GS1-128 label that is correct but placed on the wrong panel, wrapped under stretch film, printed at insufficient density, or applied over a seam is a scan failure — and scan failures are chargeable. Routing guides specify panel, height from the pallet base, and orientation for a reason. Thermal printer maintenance and label stock quality are unglamorous, but they show up directly in compliance scorecards.
Routing Guide Enforcement Has Tightened
Retailers increasingly enforce their routing guides literally: the designated carrier, the designated mode, the designated consolidation point, and the required routing request lead time. Shipping collect on a prepaid program, or using your preferred carrier instead of the routed one, generates a chargeback even when the shipment arrives on time. Every retailer's guide differs, and each one updates on its own schedule — this is why vendors who sell into multiple retailers benefit disproportionately from a 3PL that already runs those programs.

The Chargeback Categories That Cost the Most
Across the retailers we ship into, the highest-cost categories are consistent:
1. **Late or early delivery against the appointment window**
2. **ASN not transmitted, late, or inaccurate**
3. **Label non-compliance — content, placement, or scannability**
4. **Carton and pallet build violations — overhang, height, mixed-SKU rules**
5. **Unauthorized carrier or routing deviation**
6. **Packing slip and documentation errors**
Note that only one of those six is about the product itself. Compliance is an operations discipline, and it is executed at the warehouse.
What Good Looks Like
A compliant retail program has the retailer's routing guide loaded into the WMS as rules rather than as a PDF someone remembers to check; ASNs generated automatically from the pick transaction and transmitted before the truck departs; GS1-128 labels printed and verified in-line; appointment scheduling handled by the warehouse against the DC's system; and a chargeback log reviewed monthly so root causes get fixed instead of repeated.
